Book appointments online through this website or the link provided.

Please complete an eForm at least once, before your scheduled appointment, in the reminder sent to you or when you book your appointment.

Make sure to book the CORRECT appointment for what your are looking for, a new problem appointment for a new issue, or a phone call appointment if you want a virtual appointment, a prenatal appointment if you are pregnant, etc. 

Be sure to check your junk mail as sometimes clinic emails will go to junk mail. We communicate through email regularly.

 

Key Clinic Policies Summary

Appointments: Appointments are required for all visits.

Book online through our OceanMD secure portal, one appointment can be booked at a time. You may also book by telephone with our Medical Office Administrator. 

Walk-ins are not available at this time; any request sent by email or voicemail for appointments we will attempt to book in and respond as soon as we can.

 

Missed Appointments & Late Cancellations:

Provide 24 hours’ notice for cancellations/rescheduling. Please be respectful of the doctor's time and the patients waiting to book appointments.

Repeated no-shows (2–3 in 12 months) may result in written warning or discharge from the practice in line with CPSNL guidelines.

 

Communication and Reminders:

Please check the website for closure updates and other important communication

 

Phone Calls & Voicemail:

Voicemails are transcribed and checked during business hours. We do not respond to health care related inquiries via the reception phone. If you have a virtual/phone appointment the doctor will call you from a "No caller ID" on your scheduled appointment time.


Email Use:

For administrative purposes only (e.g., booking, updates).

We do not respond to health care related inquiries via email.

 

Text Messages/SMS: Optional consent required; messages may not be secure.

Text/email reminders will be sent out 6-7 days and 24-48 hours before your schedule appointment through Ocean MD

 

Privacy & Confidentiality

All patient information is managed in compliance with PHIA.

Medical records are securely stored in MedAccess TELUS EMR.

Prescriptions & Test Results

Prescription refills are provided during appointments.

Controlled substances require an in-person assessment.

Test results are reviewed promptly, but it is your responsibility to follow up if you haven’t heard back in a reasonable time.

 

AI & Clinic Operations

This clinic uses PHIA-compliant AI software to transcribe and structure physician-patient conversations in the EMR.

Consent to participate in this process is required as AI software will be used in every visit.

This will be STANDARD in every appointment at this clinic

 

Ending the Physician–Patient Relationship

May occur for repeated no-shows, abusive behaviour, or breakdown of trust (per CPSNL/CMPA guidelines).

Written notice may be provided if necessary.

 

Fees & Payment Policies

Uninsured services (e.g., forms, missed appointment fees or anything not directly attributable to maintaining your health and wellness, extended appointment times) must be paid by cash at the time of service. HST is charged on these services. No refunds for services rendered.

 

eForms

At Villa Nova Medical Clinic, we use secure electronic forms (eForms) through OceanMD to help gather important information for your care. Please note the following key points:

eForms are not a substitute for a medical assessment and do not replace in-person care.

Your responses will only be reviewed at the time of your appointment. They are not monitored in real time.

Do not use eForms to report urgent/emergent issues. If you have an urgent concern, please call the clinic or go to a walk-in clinic or emergency department.

All information submitted is encrypted and handled according to Canadian privacy laws (PHIA) and goes directly into your electronic medical record.

By submitting a form, you acknowledge that it will be reviewed during your scheduled visit.

 

Other policies:

You may request medical information in your chart using the form on the clinic website

No animal allowed in the clinic with some exceptions for service animals

No scent policy for the clinic

There are certain circumstances that can result in discharge as patient of the clinic, see relevant policy for more details

There are some limitations on prescriptions for opioids, stimulants, and benzodiazepines (i.e. Ativan) due to risk of harm , dependance, withdrawal and other concerns, please see their respective policies for more information

Chaperones will be provided as often as is possible for sensitive assessments. See the chaperone policy.
